Google Calendar & Meet Integration
Connect Google Calendar to sync demo bookings, automate Google Meet link generation, and configure availability filtering.
Integrating your Google Calendar allows TellBack to check your real-time availability, schedule events directly onto your calendar, and generate Google Meet video conference links automatically.
Plan Gating & Availability
- Allowed Plans: Google Calendar OAuth connections and calendar-sync features are supported on Freelance, Studio, Agency, and Enterprise plans.
- Gated Plans: The connection panel is locked and unavailable on Free and Solo plans.
Connection & OAuth Setup
- Authorize Account: Click the Connect button under Settings > Sites > Request Demo. You will be redirected to Google to authorize calendar access.
- Redirect Validation: After Google redirects back to TellBack, the settings page shows whether the connection succeeded or failed.
- Select Target Calendar: Choose which calendar from your Google account to use for booking. It defaults to your account's primary calendar.
Booking Without Google Calendar
[!NOTE] Connecting Google Calendar is optional. Booking can work without Google Calendar connected. If not connected, slots are calculated based on the site's local Availability Timezone and time ranges only, and meetings are recorded in the dashboard without video links.
Google Freebusy Availability Filtering
When Google Calendar is connected, TellBack cross-references your availability:
- Busy Slots Removal: Google Calendar busy times are removed from available slots when your Calendar is connected and Google Freebusy queries succeed.
- Fail-Safe Rule: If Google Freebusy API queries, token refreshes, or API quotas fail, TellBack fails safe and returns no available slots (
slots: []) to prevent exposing unverified times and double-booking.
Event Creation & Google Meet Links
When a visitor books a slot:
- Google Meet Generation: TellBack requests Google to create a Hangouts Meet video meeting. Once created, a Meet link is returned and shown in the dashboard bookings page.
- Visitor Invitation Rule: Visitor is not added as a Google Calendar attendee by default. The visitor's Name and Email are written directly to the event description, but no calendar invite email is triggered from Google's side.
- Idempotency: TellBack creates calendar events idempotently to avoid duplicates.
Sync Statuses
Bookings in the dashboard show one of four sync statuses:
not_connected: Google Calendar is not connected.pending: Calendar sync has not completed yet or is being attempted.created: Google Calendar event was created successfully and Google Meet link is ready.failed: Calendar synchronization failed.- Event Failure Rule: If Google event creation fails after booking, the booking remains confirmed in TellBack and the calendar sync status becomes failed.
Retrying Sync Failures
If event synchronization fails (resulting in a failed badge), you can manually retry:
- Navigate to Demo Bookings.
- Locate the failed booking.
- Click the Retry Sync button to attempt to re-create the calendar event and generate the Google Meet link.
Disconnection
Disconnecting Google Calendar revokes the OAuth access tokens.
- Event Retention: Disconnecting Google Calendar does not delete existing or future Google Calendar events from your Google account. Existing bookings remain in the TellBack database.
Privacy & Consent Responsibility
Site owners are responsible for providing appropriate visitor notices and obtaining any required consent for booking forms, email reminders, pageview tracking, session context, replay, audio, screenshots, and AI processing where applicable.
