Request Demo Widget Settings

Enable client-side booking schedules, manage host details, and configure visitor notification settings.

The Request Demo feature lets visitors schedule product demonstrations directly through the TellBack widget.


Plan Gating & Availability

  • Allowed Plans: Request Demo configuration and scheduling are supported on Freelance, Studio, Agency, and Enterprise plans.
  • Gated Plans: This feature is locked and unavailable for sites assigned to Free and Solo workspaces.

Separate Controls and Feedback Widget Relationship

The Request Demo panel is controlled separately from your feedback collection mode:

  • Booking without Public Feedback: You can collect bookings even when the public feedback widget tab is set to Off.
  • Request Demo Only Mode: Setting Feedback Mode to Off (collect_nothing) while enabling Request Demo renders a booking-only widget to visitors. In this configuration, the widget runs in a completely sessionless mode with no background user tracking or telemetry logging.

Configuration Fields

Configure settings inside your site dashboard (Settings > Sites > Request Demo):

  • Availability Timezone: The time zone used to interpret your weekly schedule.
  • Host Display Name: The name of the booking representative displayed to visitors.
  • Tab Label: The button text shown on the widget tab (defaults to "Request Demo").
  • Intro Text: Brief description shown at the top of the booking view.
  • Slot Duration: Length of each booking in minutes (defaults to 30).
  • Buffer: Time buffer gap added between sequential slots to prevent back-to-back meetings (defaults to 15).
  • Minimum Notice: Minimum time in minutes required prior to slot start (defaults to 120).
  • Booking Horizon: Maximum days into the future slots are available (defaults to 30).
  • Notifications Toggles: Checkboxes to manage visitor confirmations, host notifications, and email reminders.
  • Weekly Days Availability: Active ranges (start/end times) for each day of the week.

Host Name Rule

[!IMPORTANT] A host display name is required when booking is enabled. TellBack may prefill it from your profile or site details where available, but you should review and save it before accepting bookings.


Timezone Translation & Available Slots

To ensure a smooth scheduling experience across different time zones:

  1. Owner Setup: Availability is configured in the site’s Availability Timezone (e.g. America/New_York).
  2. Server Processing: TellBack calculates slots server-side in UTC and filters out conflicts.
  3. Visitor View: The widget displays available times in the visitor’s local browser timezone (automatically translated from UTC).

Double-Booking Protection

TellBack uses server-side transactional slot locking to prevent two visitors from booking the same time. If two visitors attempt to submit the same slot simultaneously, the transaction detects the collision, locks the first successful submission, and directs the second visitor to select a different slot.


Visitor Booking Experience

When a visitor books a slot, the scheduling form collects the following verified fields:

  • Name
  • Email
  • Selected Time
  • Visitor Timezone (automatically parsed from the browser)
  • Optional notes / message

Automated Confirmations & Reminders

TellBack coordinates meeting notifications based on your settings:

  • Confirmation Emails: TellBack sends visitor confirmation emails and host notification emails if those notifications are enabled.
  • Reminders: TellBack schedules a 1-hour reminder if reminders are enabled and the booking is far enough in the future. Near-term bookings scheduled less than 1 hour away skip reminder scheduling.

Bookings Dashboard

You can manage all bookings in the dashboard (Demo Bookings tab):

  • Upcoming / Past / Canceled / All views: Filter bookings by status and date.
  • Booking Filters & Search: Search bookings by visitor name or email.
  • Details & Notes: View visitor details, browser timezone, and optional notes (with expand/collapse options).
  • Calendar Status: View badges indicating synchronization health.
  • Actions:
    • Copy Meet link (available once synchronized).
    • Copy booking reference ID.
    • Retry calendar sync (triggers manual sync if Google Calendar creation failed).

Privacy & Consent Responsibility
Site owners are responsible for providing appropriate visitor notices and obtaining any required consent for booking forms, email reminders, pageview tracking, session context, replay, audio, screenshots, and AI processing where applicable.
